Dear Participants,

Welcome to the KaVA science working group meeting and/or the 8th East Asia VLBI workshop.
This is the Final Circular and LOC provides you some information on the meetings.

The 8th East Asia VLBI workshop 2015

A lot of notable progress on VLBI and related activities has been achieved recently in East Asia. In Japan, VERA has been continuously producing progressive results in astrometry and astrophysics, while the Japanese VLBI Network (JVN) has achieved regular operation of high-sensitivity array including several 30-m class telescopes. In Korea, the Korean VLBI Network started open-use observations. Furthermore, the joint VLBI array, KVN and VERA array (KaVA), started open-use observations. Now, VERA, KVN and KaVA are open for all the astronomers in Korea, Japan, China and Taiwan.Large science project with KaVA, in addition,have also kicked-off for extensive studies in star-formation, AGNs, astrometry and evolved stars. In China, Tianma 65-m telescope, which will be a key station of Chinese VLBI Network (CVN), has already started scientific observation. In addition to the Greenland telescope project promoted by ASIAA in Taiwan, the East Asian Core Observatory (EAO) has recently started operation of the James Clerk Maxwell Submillimetre Telescope (JCMT). These telescopes will play a key role in future submillimeter VLBI project in East Asia. In this workshop, future collaborations in East Asia region to enhance VLBI and related activitiesincluding these current / new telescopes will be discussed, based on latest scientific results and technical achievements/developments.

Venue & Travel Guide

================

The workshop will be held at the Hokkaido University Conference Hall.
The conference hall in Hokkaido University is located in the front left, just you enter the main gate of the university.
It is about 7-minute walk from the Sapporo station in the JR line or about 10-minute walk from the Sapporo station in the subway lines to the main gate.
Please be aware that the workshop will start from 9:30 AM on July 6 and end at 5:00 PM on July 10.
It takes about 40 min to get to the Sapporo station by train from the New-Chitose Airport.

It should be noted that other meetings will be held in the conference hall.
Please do not enter other rooms by mistake and please be quiet in the hall and the corridors.

Reception

================
You can enter the conference hall at 9:00 AM on July 6 and 7 (KaVA science working group meeting)
and 8:30 AM on July 8 – 10 (EA VLBI workshop).
Reception desk will open at slightly different time each morning as follows,


6, July : 9:30 AM
7, July : 9:10 AM
8 - 10, July : 8:45 AM


Reception desk will be available whole day.


Registration fees are, 3,000 JPY (KaVA + EAVN), 2000 (KaVA or EAVN only).
It will be charged at the reception with other cost for excurstion and banquet (see below).

Fees & Receipts

================

LOC collect the sum of registration, banquet, and excursion fees.
Please pay the exact amount.


Registration fee: 3,000 yen (both meeting) of 2,000 yen (EA VLBI only)
Banquet fee: 4,000 yen (student) or 5,000 yen (others)
Excursion fee: 5,500 yen


LOC issues three kinds of receipts, i.e., for registration fee, banquet, and excursion, separately with the addressee of your name.
If you need other types of receipts, please mail us by July 1st UT 09:00 with a concrete form. We will meet your request as much as possible.

Nametag

================

A nametag is distributed in the reception. Local staffs identify you as a participant of the conferences, banquet, and excursion.
Then, please put your nametag around your neck.

Presentation

================

Each contributed talks will last 15 minutes (12 +3) including questions.
Posters are available to be put up from 8:45 AM on July 8 to 5:30 PM on July 10.
The maximum size for posters is A0 portrait.

Wireless LAN

================

You can use wireless LAN, eduroam, in the conference hall.
We will issue a form of “organizer duplicate document” in the reception, then please submit the form with your affiliation and signature.

Banquet

=================

Banquet will be held on July 8 (6:30 - 8:30 PM) at the CO-OP cafeteria (2F in “the central cafeteria”) in the campus of the university.
It takes about 10-minute walk from the conference hall. All the participants of both workshops are welcome.

Lunch

===============
There is a CO-OP cafeteria (“the Clark Memorial Student Center cafeteria”) in the campus of the university.
It takes about 5-minute walk from the conference hall.
Of course, there are many restaurants and convenience/corner stores around the venue, with 10- to 15-minute walk.

Excursion

================

We will have one-day trip to the farm Tomita (http://www.farm-tomita.co.jp/en/) in Furano at July 11.
Two chartered buses will depart from the Conference Hall at 8:30 AM, and get back at 6:00 PM.
LOC will send only the participants on the excursion later.
If you receive no mail on the excursion in spite of your registration, please contact quickly as soon as possible.
